Overview
Team Notifications controls who on the dealership team hears from Lead Handling, and how. When a lead needs a person to step in or books an appointment, Lead Handling alerts the right people by email, by text message, or both, so the team can follow up while the shopper is still engaged. The same page also sets up a daily summary email.
Email works well for managers and reporting, but reps spend most of their day on the floor and on their phones, where an email can sit unread until the lead has gone cold. SMS alerts reach them where they actually work, with a link that opens the shopper's conversation in one tap.
Page Layout
The page has two sections:
-
Email Notification: email alerts for Needs Human and Appointment Set leads, plus a daily summary email delivered at a time you choose.
- SMS Notification: real-time text alerts for Needs Human and Appointment Set leads, sent to a list of named mobile contacts. Each text links straight to the shopper's conversation, so reps can open it from their phone.
How It Works
Email alerts and the daily summary
Each email setting has its own recipient list. Anyone on the Needs Human list is emailed about leads requiring immediate human attention, anyone on the Appointment Set list is emailed when an appointment is set, and anyone on the Daily Summary list receives the daily summary email at the selected time.
SMS alerts
SMS alerts are organized by lead category. There is one contact list for Needs Human and one for Appointment Set, and a contact receives texts only for the category whose list they are on.
-
What triggers a text: a lead moving into Needs Human or Appointment Set. Other lead categories don't send texts.
-
Who receives it: every contact on that category's list. Each contact gets an individual text.
-
What the text says: "Continue LH FP conversation [link] at [dealership] for [lead] that [category]." The link opens the shopper's conversation in the dashboard.
- Message length: long messages are trimmed so each alert fits in a single SMS segment (160 characters).
SMS alerts switch on automatically as soon as at least one complete contact (name and mobile number) is saved to either list. With no contacts saved, no texts are sent.
Where to Find It

Team Notifications is also a step in the Lead Handling onboarding wizard, so contacts can be set up during onboarding and adjusted later from Settings.
How to Use It
Set up email notifications
| Setting | What it does |
|---|---|
| Daily summary time | Sets when the daily summary email is delivered: Early 7:00 AM, Noon 12:00 PM, or Evening 7:00 PM. |
| Subscribe to Email Alerts on Leads Requiring Immediate Human Attention | Email addresses that are alerted when a lead needs a person to step in (Needs Human). |
| Subscribe to Email Updates When Appointment is Set | Email addresses that are notified when an appointment is set. |
| Subscribe to Daily Summary Email | Email addresses that receive the daily summary at the selected time. |
To add email recipients:
- Choose a daily summary time from the dropdown.
- In the list you want to update, type an email address in the Enter email address field and press Enter. The address appears as a chip.
- Repeat for each recipient.
- To remove a recipient, click the x on their chip.
Set up SMS alerts
The SMS Notification section has two lists:
- Subscribe to SMS Alerts on Leads Requiring Immediate Human Attention (Needs Human)
-
Subscribe to SMS Updates When Appointment is Set (Appointment Set)
To add an SMS contact:
- Under the list you want to update, enter the contact's Name.
- Enter their US mobile number in Enter mobile phone number.
- Click Add (or press Enter). The contact appears as a chip showing their name and number.
- To remove a contact, click the x on their chip.
| Rule | Details |
|---|---|
| Name and number | Both are required. The Add button stays disabled until both are filled in. |
| Phone format | Must be a valid US mobile number. Invalid entries show "Please enter a valid US mobile phone number." |
| List size | Up to 10 contacts per list. |
| Duplicates | A number can appear only once per list ("This number is already on the list"). The same person can be added to both lists. |
Setup tips:
- Anyone who should hear about both Needs Human leads and booked appointments needs to be added to both SMS lists.
- Saving the first contact turns SMS alerts on. Removing every contact from both lists turns them off.
- When a team member leaves or changes roles, remove their chip and add their replacement so alerts keep reaching someone who can act on them.
Frequently Asked Questions
Do SMS alerts replace email alerts?
No. Email and SMS are set up separately on the same page, and each has its own recipient lists. A person can receive one, the other, or both.
Why didn't a contact get a text for a Needs Human lead?
Check that the contact is on the Needs Human SMS list, not only the Appointment Set list. Texts are also sent only when a lead moves into the category, so a lead that was already Needs Human doesn't send another text. Leads flagged because the shopper's phone number changed, test leads, and contacts who replied STOP don't receive texts either.
I don't see the SMS Notification section. Why?
SMS alerts are available to dealerships using VinSolutions as their CRM or running a dual-CRM setup. If the section isn't showing, contact your Fullpath team to confirm the dealership's CRM setup.
Can a contact receive texts outside the US?
No. SMS contacts must have a valid US mobile number.
